Position Description for Preschool Administrator                                                     

CCEP is a ministry of Christ Church Christiana Hundred,  a community of followers of Christ who share the beauty and power of God’s transforming love through worship, community, and service in the world.  The purpose of all Christ Church staff is to support the congregation and preschool in carrying out this mission.  All employees are expected to have good interpersonal skills, be willing to take initiative, be adept at maintaining a high degree of confidentiality, be responsive to the needs of congregants, and comfortable working as a team member serving the needs of the church.  As we are a small staff serving a large congregation and preschool, we expect to cross over and support other staff members in their tasks and accept other duties as assigned.

Start Date:    Flexible between May 22 and June 1, 2023    

FULL TIME: The Preschool Administrator serves as a partner with the Head of School to oversee preschool staff and has responsibility for the daily operation of the preschool office and coordination of the admissions; designs, prepares, and directs preschool communications in print and electronic form; oversees use of Brightwheels database; and supports the day-to-day finances of the preschool.

Major  Functions:

Office Administration:

  • Responsible for the daily operation of the preschool office, including supervision of preschool staff and volunteers

  • Manage personnel records, vacation schedules, and monitor daily administrative work

  • Oversee management of employee benefits, working with the Head of School and Finance Manager

  • Provide support for Head of School and other preschool staff members

  • Authorize the approval of purchases, working with the Head of School and Finance Managers

  • Maintain Brightwheels Databases

  • Manage record-keeping in partnership with the Head of School and the Finance Manager

  • Process payroll monthly in partnership with Head of School and the Finance Manager

  • Offer input on office equipment purchases and on cost-saving measures throughout the office

Communications:

  • Produce preschool communications:  weekly newsletters, special event communications, and other preschool-wide emails, event brochures, and flyers

  • Weekly maintenance of web page during special events (fundraisers, summer camp, etc.)

  • Coordinate printing process for publication of communications

  • Support the Board, Parent’s Association, CCCH, the Head of School, and various committees in their scheduling and communications needs

  • Oversee maintenance of yearly preschool calendar of events, working with the Facilities Manager

  • Record voicemail greetings and check general mailbox daily

  • Monitor preschool emails daily

Enrollment:

  • Oversee maintenance of enrollment databases, working with Head of School, teachers, and families

  • Create and maintain the annual school directory, annual faculty directory, and school year class lists

Administration of Classrooms:

  • Assist teachers and Head of School in finding substitutes

  • Provide assistance to teachers with important classroom communication (conference sign-ups, class parties, etc.)

  • Assist Head of School with classroom equipment inventories

  • Order consumable classroom materials as needed by teachers

  • Capacity to resolve problems quickly and effectively

  • Ability to coordinate diversified functions among staff and volunteers

  • Flexibility and adaptability to changing priorities

Qualifications:

  • Bachelor’s Degree preferred, but not required

  • Proficiency in electronic communication, desktop publishing, Content Management Systems and HTML code, Microsoft Office, and data entry and retrieval

  • Competency in writing, editing, and proofreading

  • Supervisory experience

  • Demonstrated experience in all aspects of office administration
